Frequently asked by MICE buyers
Eight questions corporate buyers ask before submitting an RFP. Mike answers each one directly — same DOM content emits as FAQPage structured data so Google can surface answers in SGE / AI Overviews.
What's the typical per-pax budget for an Asia incentive program?
$1,500-$5,800 per-pax all-in covers 90% of what we deliver. The $1,500-2,500 band is achievable for 100+ pax programs on shoulder-season dates with 4-star properties. The $2,500-3,500 band hits the sweet spot — InterContinental / JW Marriott · branded events · cultural activities · 4-5 days. $3,500-5,000 starts adding private cruise charters, exclusive heritage permits, and 5-star throughout. $5,000+ is luxury Sofitel / Park Hyatt / Raffles territory with money-can't-buy experiences. Most programs we deliver land $2,000-$3,500/pax. Bali equivalent is $4,000-$8,000/pax.
Can ATL sign an NDA before pricing discussions?
Yes. Standard 2-page corporate NDA available on request before we quote. We've signed NDAs for 80% of our 35+ programs since 2024 · zero breaches since founding in 2011. Most NDAs come from procurement teams at Fortune 500 / FTSE 100 / ASX 100 companies — fully accustomed to standard operational confidentiality.
Do you offer site-inspection trips before we commit?
Yes — 3-day standard site-inspection for confirmed programs (signed contract + 30% deposit). We cover hotel walkthroughs · F&B tastings · route reviews · contingency planning · branded preview deck delivered post-inspection. Inspection cost: ATL covers ground · client covers flights + accommodation (or we credit room nights against the program). Most large-scale programs (200+ pax) do a site inspection · most 50-100 pax programs skip it and rely on detailed photo + video walkthroughs.
What's the lead time for a 100-pax program?
Minimum 90 days for a 100-pax program · 120-180 days standard. Hotels block 40-60 rooms at 90+ days lead time but premium dates (Halong cruise charters · Park Hyatt Siem Reap during peak Dec-Feb · JW Marriott Phú Quốc during Tết extensions) need 180+ days. Rush programs (60-90 days) possible with $500-$1,500/pax surcharge for venue urgency · we've done it 4× since 2024.
Can you handle dietary restrictions at scale?
Yes — across 12,000+ travellers since 2011 we've managed Halal · Kosher · vegetarian · vegan · gluten-free · nut-free · seafood-free · dairy-free at programs up to 330 pax. Single dietary contact pre-arrival · individual seat-card markers at galas · day-of fallback chef on-call for emergency accommodations. Zero dietary incidents on the 35+ programs since 2024.
Do you brand the venues, transport, and gifts?
Yes — full branded production: coach wraps · airport welcome banners · venue signage zones · luggage tags · crew uniforms · per-pax welcome gifts (Vietnamese silk / lacquerware / ceramics with custom branding). Welcome-gift production budget typically $25-$120/pax depending on tier. Branding production lead time: 30 days from sign-off.
What are the cancellation / postponement terms?
Standard: 100% refund >90 days from program start · 50% refund 60-89 days · 25% refund 30-59 days · forfeit <30 days. Force-majeure (government travel restrictions · natural disaster · pandemic-equivalent) is flexible — we postpone or partial-credit rather than enforce strict timelines. Custom terms negotiable for programs over $200K total commercial value. We've never lost a corporate client over a cancellation dispute since 2018.
Can you do hybrid (in-person + virtual) programs?
Yes — increasingly common post-COVID. Hybrid setup includes simultaneous translation (EN · CN · JP · KO · VN) · live streaming production · virtual-attendee gala viewing rooms · pre-recorded executive video messages. We've delivered 6 hybrid programs since 2024 — typical split is 60-80 in-person + 100-300 remote attendees. Hybrid adds $15-$40K production cost depending on streaming complexity.
