Booking Terms
These terms apply once you confirm a quote and pay a deposit. They are separate from our general site Terms — these are the rules for your actual trip.
What this booking terms says in plain English
- ✓30% deposit on confirmation · balance due 30 days before arrival.
- ✓Cancellation: free until 45 days out · graduated penalties after.
- ✓We can substitute hotels of equal or better category if force-majeure-d, no upcharge.
- ✓Trip insurance is your responsibility — we do not sell it but we recommend it.
- ✓Operator liability is capped at the trip cost plus USD 1,000 for medical evacuation assistance.
1.Quote confirmation
A quote is valid for 14 days. Pricing reflects exchange rates and supplier rates on the quote date; supplier price changes inside the 14-day window are absorbed by ATL. Confirmation = written acceptance + 30% deposit paid via bank transfer, VTCPay (Vietnam), or Wise (international).
2.Payment schedule
- 30% deposit within 7 days of quote acceptance
- 70% balance due 30 days before arrival
- For trips booked under 30 days out: full payment due within 48 hours of confirmation
- Wire fees and currency-conversion fees from your bank are your responsibility
3.Cancellation by you

For multi-traveller bookings, the cancelling traveller s portion is refunded per the table; the remaining travellers may face a single-supplement re-quote for hotels.
4.Cancellation by us
If we have to cancel before arrival for any reason within our control (operational, low minimum group size, supplier insolvency), you get 100% refund + USD 200 inconvenience credit toward a future ATL trip (valid 24 months).
5.Itinerary changes by you (mid-trip)
Light tweaks (swap a museum for a temple, change dinner restaurant, add a half-day activity) — free if our guide can arrange same-day. Substantive changes (re-route entire week, drop hotel nights) — quoted as a change request; you pay any net increase, we do not refund net decrease unless the change is forced by external events.
6.Itinerary changes by us
We may substitute components of equal or better category at no cost when: (a) original supplier closes/cancels, (b) safety conditions warrant, (c) seasonal closure missed. We will inform you in writing within 24 hours and you can decline (full refund) within 48 hours.
7.Force majeure
Events beyond reasonable control (typhoon, flood, earthquake, volcanic ash, public health emergency, war, civil unrest, government-ordered travel ban, airline industrial action lasting more than 48 hours).
- Before departure: you can postpone to any date within 18 months at original price OR get a 90% credit valid 24 months. Cash refunds limited to amounts we can recover from suppliers + 50% of unrecoverable portion (we share the loss).
- Mid-trip: we re-route to the closest equivalent itinerary at no extra cost. Any forced extra night/transport is on us up to USD 200/person/day for 5 days; beyond that, on your trip insurance.
8.Single supplement
Solo travellers pay 100% of double-occupancy room rate (i.e. a 50% single supplement). Triple-share is double-share base rate + 70% of base, not 3x base.
9.Health & accessibility
You confirm you have no medical condition that prevents safe travel (e.g. uncontrolled cardiac issues for trekking trips). We accommodate WCAG-level access requirements with 30 days notice — disclose specific needs at booking. Some itineraries (Sapa trek, Phong Nha cave) are not accessible to wheelchair users; we will flag and suggest alternatives.
10.Behaviour & conduct
See Code of Conduct. We reserve the right to remove travellers who endanger others, are persistently intoxicated, or refuse to follow safety briefings from cultural sites (e.g. shoes-off temple entry, no flash photography in caves). No refund for behavioural removal.
11.Liability cap
Our maximum liability for any trip-arising claim is limited to: (a) the total price you paid for the trip, plus (b) USD 1,000 medical-evacuation assistance contribution if you have no trip insurance. We strongly recommend you carry trip insurance covering medical, evacuation, and cancellation ([RECOMMENDED_INSURER_1], [RECOMMENDED_INSURER_2]).
12.Operator liability insurance
ATL carries operator liability insurance with [INSURER_NAME] policy [POLICY_NUMBER], covering up to USD [COVER_LIMIT] per incident.
13.Complaints
First raise during the trip (guide or +84 917 506 881 24/7 hotline) — most issues are fixable in 4 hours. If not resolved, email complaints@asiatravellinksdmc.com within 28 days of trip end. We aim to respond within 7 business days.
14.Governing law & disputes
Same as Terms of Service §11 — arbitration in Hanoi, English, VIAC, Vietnamese law. Small claims (under USD 500) in your local court.
